Document Processing using our Client Intake Functionality
This is one of our first AI related features that we introduced in the software. We now have the functionality to automatically import certain types of documents automatically and get a client created for you. The first two supported documents are the ones from Netcare and Evexia. The importing functionality will use the same pricing concept as the EDI claim processing, but it will save lots of time in terms of manual capturing. If there are any other document types that you wish to get imported, please send an email to [email protected] and our development team will schedule this to be done for you.
Audit Trailing Enhancements to Ensure More Visibility of User Actions
We have introduced changes to allow you to see more actions that were taken by any user and on more items that occurred in the software.
Importing of Bank Statements and Medical Aid Remittances
We have finalised the functionality to import bank statements and medical aid remittances. We support the following medical aid schemes (even if the PDF is password protected) – Discovery, GEMS, Medscheme, Momentum, Umvuso, Optimum and Platinum Health. With the bank statements, we support the PDF bank statements of ABSA, FNB, Nedbank and Standard Bank. The first evaluations and reviews of the functionality are good. Current Features Being Worked On – Voice Notes and Voice Note Transcriptions
We’re currently busy working on allowing you to save voice notes on the software, and then getting these transcribed automatically into a note. You can also upload an audio file and have this automatically transcribed into a note which you can then update.
These features will be available to all subscribers by early June 2025.

Outsourced Admin Function for R2000 per month
We’ve also been able to extend our Managed Service product to use your practice management software account and link it to our Managed Service offering, where we handle other aspects such as the medical aid follow ups, unpaids management, telephone call tracking, financial transaction processing, etc. In this way, if you ever wanted to cancel the Managed Service offering, you could always revert back to your own account and your data would be intact. The other benefit is that you still have full visibility on your practice management software account in terms of what is happening – it’s just these ‘magic hands’ in the background helping you in the private practice.
With the financial transaction processing, we don’t replace your accountant and tax advisor – we just do the bookkeeping aspects by processing the payments from your bank statements and medical aid remittances.
With regard to the client intake forms and processing those, we obviously strongly recommend that these be electronic and created on the practice management software. If that is done, then most of the capturing is done by the patient already, and our team will just do final checks and confirm things with you like the ICD10 codes, etc (if they are missing). We do have a separate option at an additional cost if you want the team to manually capture the client data and appointments. But in our ideal world, our managed service module client would have created their appointments on their practice management software calendar, and each appointment would have an invoice template set against it.
Lastly, the monthly cost is R2000 in addition to your practice management software subscription, and we also recommend a topup of R500 per month in terms of prepaid. The prepaid can also be excluded and you can topup that when requested by the team. If you needed the manual capturing, then that would be a further R1500 per month. So in total, the best case would be R2760 per month (excluding the prepaid credits), and worst case R4260 (excluding the prepaid credits). All our pricing includes VAT.
